ParentFlare helps your family stay ahead of the week. You send us the raw material — school emails, flyers, notes — and we turn it into an organized family schedule. That work requires your trust, and this policy explains exactly what we collect, why, and what we will never do with it.
The short version: your information is used for one purpose — organizing your family's schedule. We don't sell it, we don't show ads, and we don't share it with anyone except the service providers we need to run ParentFlare.
Account information. When you create an account, we collect your name and email address, provided through Sign in with Google, Sign in with Apple, or email and password registration.
Family profile. ParentFlare is built around your family, so you provide information about the people in it: the names of parents, partners, or co-parents you invite, and the names and details of your children (such as school, grade, activities, age, or — if you choose to share it — birth month and year) that you choose to add. This information exists so the schedule can say "Ridley's field trip" instead of making you guess — it is used only inside your family's account. We deliberately do not ask for or store a child's full date of birth: an optional birth month and year is the most we keep, and it exists only so ages stay right after birthdays.
Content you send in. The heart of the service is the content you choose to share: emails forwarded to your family's private ParentFlare address (including sender, subject, and body), photos you capture of flyers, permission slips, or screenshots, and notes and messages you type in the app. We process this content to extract schedule items — events, deadlines, and action items — for your review.
Calendar data. If you connect Google Calendar, we read your calendar events to show your family's schedule in one place and avoid duplicates, and we write events to your calendar when you approve them.
Technical data. We collect basic technical information needed to run and debug the service: device type, app version, logs of service activity, and crash reports. We do not use third-party advertising or marketing analytics.
We use your information to operate ParentFlare and for no other purpose:
Content you send in is processed automatically, including by the service providers listed below, solely to provide these features. We do not use your family's content to build advertising profiles, and we do not permit our providers to use it for their own purposes.
We share information only with the service providers we need to operate ParentFlare, and only for that purpose:
We may also disclose information if required by law, or to protect the safety and rights of our users. We do not sell, rent, or share your personal information with advertisers or data brokers. Within your family's account, invited members see the shared family schedule — that's the point of the product — so only invite people you want to share it with.
If you connect Google Calendar or use Sign in with Google, ParentFlare's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Calendar data is used only to display your schedule, prevent duplicate entries, and write events you approve. It is never used for advertising, never sold, and never transferred except to provide these features.
Automated processing and AI models. ParentFlare uses an automated language model, provided by Anthropic, to read the content you send in and to describe your family's schedule back to you. Where your connected Google Calendar events are part of that schedule, they are included in this processing for the sole purpose of providing these user-facing features. Google user data is never used to develop, improve, or train generalized AI or machine learning models, and is never transferred to any third party that would use it for that purpose. Anthropic does not train its models on this content.
ParentFlare is a service for parents and guardians, not for children. Accounts may only be created by adults, and we do not knowingly collect information directly from children. The information about your children in ParentFlare — names, schools, schedules — is provided by you, belongs to your family's account, is used only to organize your family's schedule, and is deleted when your account is deleted. We never store a child's full date of birth; if you choose to share a birth month and year, that is the most we keep. We are a tool for the adults running the household, in the same way your calendar or your inbox is.
Photos. Photos of flyers, permission slips, and screenshots are processed to extract schedule items and then deleted from our storage. We keep what the photo said, not the photo.
Emails and notes. Forwarded emails and typed notes are retained so you can review where a schedule item came from. You can remove individual items in the app, and everything is deleted with your account.
All data is transmitted over encrypted connections (HTTPS). Our database enforces row-level security so each family can only access its own data. Access to production systems is restricted, and our email intake verifies the authenticity of incoming messages before processing them. No system is perfectly secure, and ParentFlare is beta software — but we treat your family's information with the care we'd want for our own, because we use it for our own.
We retain your data while your account is active. To delete your account and all associated data — family profile, forwarded emails, extracted schedule items, and calendar connections — email us at hello@parentflare.com. Deletion is permanent and cannot be undone. Events already written to your own Google Calendar remain yours and stay on your calendar.
Access and correction. You can view and edit your family profile directly in the app.
Deletion and portability. You can request deletion of your account or a copy of your data at hello@parentflare.com.
Calendar access. You can disconnect Google Calendar at any time in the app or by revoking ParentFlare's access in your Google account settings.
California residents (CCPA/CPRA). You have the right to know what personal information we collect and how it is used, to request deletion, to opt out of the sale of personal information (we do not sell personal information), and to exercise these rights without discrimination. We may update this Privacy Policy from time to time. We will notify you of material changes by updating the "Last updated" date above, and for significant changes during the beta, by telling you directly. Your continued use of the service after changes constitutes acceptance of the updated policy.
